The area that actually needs cleaning
Total floor area is a starting point. A walkthrough also identifies occupied rooms, shared areas, flooring, furniture, and spaces excluded from the scope. Two buildings with the same square footage can require different amounts of work.
Facility use and foot traffic
An office, restaurant, clinic, and shared residential building have different routines. Washroom use, food-service areas, public entrances, and frequently touched surfaces affect the checklist and time needed.
Tasks and cleaning frequency
A quote should distinguish tasks performed every visit from weekly or monthly detail work. Increasing visits changes the monthly total, while longer gaps between visits may leave more work to complete each time.
Flooring and periodic detail work
Routine vacuuming and mopping are different from carpet extraction, upholstery cleaning, or machine floor care. Identify periodic services separately so the recurring price is easy to understand.
Access and the available work window
Keys, alarm procedures, elevators, parking, and the time between closing and opening all affect the service plan. Discuss these during the walkthrough rather than assuming every after-hours schedule is available.
Supplies and agreed responsibilities
Clarify who provides cleaning equipment, products, waste liners, and washroom consumables. If your site requires specific products or procedures, include those requirements before comparing prices.

Compare the schedule as well as the total.

A lower monthly figure may cover fewer visits or a shorter checklist. Ask each provider to quote the same areas, tasks, and frequency. Then compare what is included, rather than treating the headline price as the whole proposal.

  • The number of visits and agreed access times are stated in writing.
  • Each task has a frequency: every visit, weekly, monthly, or separately scheduled.
  • Periodic floor care, deep cleaning, and other add-ons are clearly identified.
  • Supplies, consumables, exclusions, and any applicable taxes are explained.
  • There is a named contact and a clear way to report missed work.
  • Trial, cancellation, and service-change terms are available before you start.

Have your business address, approximate floor area, opening hours, preferred cleaning days, and priority areas ready. A floor plan or a current checklist is useful if you have one. Point out recurring problems such as entrance soil, washroom shortages, floor marks, or missed detail work.

Is nightly cleaning always the right choice?

No. Cleaning frequency should reflect how the property is used and which areas need attention. High-use washrooms, busy entrances, and food-service spaces may need a different routine from a lightly used office. We review the schedule during the walkthrough.

Are deep cleaning and carpet cleaning included in recurring service?

Include these only when they are explicitly listed in your written scope. Routine service and periodic detail work should be identified separately, including the areas covered and how often the work is scheduled.
